TaxDome allows you to easily track your clients so you always stay on top of what they need. For an overall picture of your accounts, go to Clients from the left sidebar to view what’s happening on your All Accounts page.

The entire client account list is available to a firm owner, admin or any team member with access rights to view all accounts. Otherwise, team members see only the accounts assigned to them.

On the All Accounts page, you’ll see columns for...

  • ID: the unique ID (more on Client IDs below)
  • Name: the client’s first and last name or the name of their business
  • Follow: your following status (for more details, go here)
  • Invoices: the total number of invoices the client has received since they began using your services
  • Credits: available money that can be applied to the client’s new invoices
  • Tasks: the number of client tasks
  • Team: who has access to the account
  • Tags: color-coded tags help filter the account list
  • Contracts: the number of pending contracts sent to the client
  • Messages: the number of unresolved messages, in both unread and active status
  • Organizers: the number of pending organizers sent to the client
  • Signatures: the number of pending signature requests sent to the client
  • Last Login: the date and time the client last logged in to TaxDome. If the account has multiple users, the date and time the last user logged in

Click the up-down arrow next to the header of the column you wish to sort.

Searching for Accounts

To search for a specific account using a keyword:

  • To use global search from any page, click the search button in the left sidebar, type in the search field, then navigate to Accounts.

  • You can also click the search button on the top left of Accounts page. In the slide-out, type a keyword in the search field, then press enter on your keyboard. Click the x in the search field to clear it.

Filtering Your Account List

Filters help you sift through a long list of client accounts. For example, find all accounts managed by a specific team member or that have overdue invoices. For more on filters, go here.

To filter your account list, click FILTER on the far right of the menu bar.

Here, find out what the filters do: 

  • Team shows accounts assigned to one or more specific team members.
  • Pipelines shows accounts with jobs in one or more specific pipelines. Select one or more stages to narrow the results even more.
  • Invoices lets you choose All, Paid or Unpaid to view accounts with invoices. When you select Unpaid, you can also choose to see Overdue statuses.
  • Messages (choose one):
    • All shows accounts with at least one message thread.
    • Active shows accounts with active message threads.
    • Unread shows accounts with unread message threads.
    • Archived shows accounts with archived message threads.
  • Imported at lets you select the date and time the accounts were imported to view them.
  • Tasks lets you select All or Overdue (the due date has expired).
  • Tags allows you to quickly filter. Click on any tag to see all accounts with that same tag. Or you can select Contains or Does not contain, then choose the tags to filter the list. For more details, go here.
  • Last Login lets you select All, This Week, This Month, This Year or Never.
  • Login Status lets you select Active or Offline.
  • Approvals lets you select All or Pending.
  • Organizers (choose one):
    • All shows accounts with organizers.
    • Pending shows accounts with pending organizers.
    • Finished shows accounts with completed organizers.
    • Active shows accounts with organizers that are partly or fully completed.
    • Archived shows accounts with organizers that are either partly or fully completed.
  • Contracts (choose one):
    • All shows accounts with contracts.
    • Pending shows accounts with pending contracts.
    • Partially Signed: shows accounts with contracts signed by at least one person.
  • Signatures (choose one):
    • All shows accounts with docs pending signature.
    • Signed shows accounts with documents that are fully signed.
    • Partially Signed shows accounts with documents signed by at least one person.
    • Pending Signature shows accounts with documents awaiting signature.
    • Prepared for Signature shows accounts with documents pending signature and not yet sent out.
    • Opted Out shows accounts with documents that users have declined to sign.
    • Pending KBA shows accounts with documents with KBA and that at least one person still needs to sign.
    • KBA Failed shows accounts with documents with KBA that at least one person failed and/or someone declined to sign.
    • Signature Voided shows accounts with documents that were signed offline and voided by your firm.

Exporting Your Account List

To export your account list to a CSV file, click Export Accounts. It saves all your account data including custom CRM fields.

A firm owner, admin or any team member with access rights to manage accounts can do this.

Feel free to leave the page while the export is taking place. You’ll receive an email with an attached zipped CSV file when it has completed.

Tip: Filter your list before exporting it to a CSV file to narrow it down to only the accounts you need.

Printing Your Account List

To print an account list, click Print at the top right of the page.

By default, the account list displays 25 per page. Prior to printing, select the number you prefer in the Rows per page menu on the bottom left.

Accounts Pending Activation and Resending Invitations

Once you invite someone to their TaxDome portal, or you add a user to an account, TaxDome automatically sends them an email requesting them to activate their account.

Until a user activates their account and creates a password, their email address remains on the Pending Activation page. Go to Clients, then to the Pending Activation page to see who hasn’t activated their account yet.

Here, you’ll also see...

  • EMAIL: the email address of the person who hasn’t activated their account yet. A red exclamation mark next to it means the address is invalid.
  • ACCOUNT(S): the name of the account. If a user has several accounts, they are all displayed.
  • INVITE SENT: the date the invitation to activate the account went out. Click the up-down arrow to sort the column by date.
  • INVITED BY: the name of the person (either the team member or client) who has invited the person

If a user has been on the Pending Activation page for a long time, resend an invitation. Or if you disabled the option to send out an invitation, send one at any time:

1. Go to Clients from the left sidebar, then to the Pending Activation page.

2. Select the checkboxes to the left of the users you want to resend invitations to, then click Resend to Selected.

By default, the Pending Activation list displays 25 user email addresses per page. If needed, select a different number in the Rows per page menu at the bottom left of the page.

Your Client Account List

TaxDome allows you to easily track your clients so you always stay on top of what they need. For an overall picture of your accounts, go to Clients from the left sidebar to view what’s happening on the All Accounts page.

On the All Accounts page, you’ll see columns for...

  • ID: Each account has a unique ID (more on Client IDs below).
  • Name: Either the client’s first and last name or the name of their business is shown here.
  • Tags: These color-coded tags help filter your account list.
  • Messages: This displays the number of unresolved client messages (in both unread and active status).
  • Signatures: Here, find out how many pending signature requests there still are.
  • Last Login: This shows the date and time the last person logged in.

Searching for Accounts

To search for a specific account using a keyword, do a global search from any page:

  • Click the search button in the left sidebar, type in the search field, then navigate to the Accounts tab.

  • You can also click the search button on the top left of the Accounts page. Then, in the slide-out type a keyword, then press enter on your keyboard. Click x in the search field to clear it.

Filtering Your Account List

Filters help you sift through a long list of accounts. You may need to find all the accounts managed by a specific team member, for example, or all accounts that have overdue invoices. For more details about filters, go here.

To filter your account list, go to the All Accounts page. Click FILTER on the far right of the menu bar, then choose one or more filters.

Here, find out what the filters do:    

  • Messages (choose one):
    • All shows accounts with at least one message thread.
    • Active shows accounts with active message threads.
    • Unread shows accounts with unread message threads.
    • Archived shows accounts with archived message threads.

To export a client account list to a CSV file, click Export Accounts, then save a CSV file to your computer. This will save all your account data including custom CRM fields.

Only a firm owner can export an account list.

Feel free to leave the page as the export takes place—you’ll receive an email with a zipped CSV file attached when it’s done.

Tip: Filter your account list before exporting it to a CSV file, so you are narrowing it down to just the accounts you need.

Printing Your Account List

Pending Activation and Resending Invitations

Once you’ve invited a client to use their TaxDome portal, or an added a user, TaxDome automatically sends them an email requesting them to activate their account.
